Eviction Desk Privacy Policy
Effective date: September 3, 2026
This Privacy Policy explains how Eviction Desk LLC (“Eviction Desk,” “we,” “us,” or “our”) collects, uses, discloses, and retains information when organizations and their authorized users use Eviction Desk.
Eviction Desk is designed primarily as a business-to-business software service for property-management organizations. An organization that uses Eviction Desk may provide information about its staff, tenants, properties, and court matters. In that context, the organization is responsible for deciding what information it submits and for having appropriate authority to provide that information.
1. Information we collect
### Account and organization information
We may collect names, business email addresses, organization names, roles and permissions, business contact information, property-management software information, configured counties, and other organization settings.
We store authentication and security information needed to protect accounts, such as password hashes, session records, multifactor-authentication configuration, and hashed recovery codes. We do not store account passwords in plaintext.
### Form-generation information
When a user uploads a workbook to generate eviction forms, the Service processes the workbook and the information in it, which may include tenant names, property addresses, amounts, counties, and other filing-related information.
The uploaded source workbook is processed in temporary server storage and is not retained as a permanent Customer file after the generation request completes. Generated artifacts are stored privately for a limited availability window, generally approximately 24 hours, and are then deleted under the Service’s retention process. Batch-history and audit metadata, such as source filename, source size, timestamps, status, generated-case count, and import issues, may remain after the generated files expire.
### Court and public-record information
The Service may retrieve and store information from publicly available court indexes and related public sources, including case numbers, filing dates, party names, case status, dispositions, action history, links, and timestamps associated with monitoring activity.
### Communications
We may collect information contained in account invitations, password-reset requests, support communications, report emails, and other communications related to the Service.
### Technical and security information
We may collect technical information reasonably necessary to operate and secure the Service, such as IP address, request and server logs, browser or device information made available through normal web requests, timestamps, authentication events, error information, and security-related activity.
The Service uses cookies or similar browser storage where necessary for authentication, session management, security, and user preferences. Eviction Desk does not currently use third-party advertising cookies or behavioral-advertising trackers in the application.
2. How we use information
We use information to provide and operate Eviction Desk; authenticate users and manage permissions; generate forms and reports; monitor supported public court sources; send account, security, invitation, password-reset, and user-requested report emails; maintain batch and audit history; troubleshoot and improve reliability; prevent abuse and protect accounts; support Customers; comply with law; and enforce our agreements.
We do not use Customer Data for third-party advertising, and we do not sell Customer Data for money.
3. How we disclose information
We may disclose information to service providers that help us operate Eviction Desk, such as hosting, database, private-object-storage, email-delivery, security, and infrastructure providers. These providers receive information only as reasonably necessary to perform services for us and are subject to their own contractual and legal obligations.
Current infrastructure may include providers such as Render for application/database hosting, Cloudflare for private object storage and related infrastructure, and Resend or its underlying delivery infrastructure for transactional email. Providers may change as the Service evolves.
We may also disclose information when required by law, subpoena, court order, or other valid legal process; when reasonably necessary to protect the rights, safety, or security of Eviction Desk, our Customers, users, or others; or in connection with a merger, financing, acquisition, reorganization, or sale of all or part of the business, subject to applicable law.
We do not disclose Customer Data to data brokers or advertising networks for their independent marketing purposes.
4. Customer control and user access
Organizations control which authorized users may access their Eviction Desk workspace and may assign roles with different permissions. Organization administrators are responsible for maintaining appropriate user access.
If you use Eviction Desk through an organization, requests concerning organization-controlled Customer Data should generally be directed first to that organization. We may refer a request to the Customer when the Customer is responsible for the underlying data.
5. Retention
We retain information for different periods depending on its purpose:
- uploaded form-generation workbooks are processed temporarily and are removed from application temporary storage after the request completes under normal operation;
- generated form artifacts are generally available for approximately 24 hours and are then deleted under the Service’s retention process;
- batch-history and audit metadata may remain after generated files expire;
- organization, account, membership, tracker, case, run, and security records may be retained while needed to provide the Service, maintain security and audit history, resolve disputes, comply with legal obligations, or support legitimate business operations;
- backups may retain information for a limited period after it has been removed from active systems.
Customers are responsible for retaining their own official business records and filed court documents.
6. Security
We use administrative, technical, and organizational measures designed to protect information, including access controls, encrypted network connections, hashed passwords, multifactor-authentication support, tenant separation, private generated-file storage, and restricted database access. No system can be guaranteed completely secure, and we cannot promise that unauthorized access, loss, or misuse will never occur.
If we become aware of a security incident affecting information, we will evaluate and respond to it in accordance with applicable law and our contractual obligations.
7. Public information
Some information displayed in Eviction Desk originates from public court indexes or other public records. The fact that information is publicly available does not eliminate all privacy or legal obligations associated with its use. Customers are responsible for using public-record information lawfully and appropriately.
8. Children
Eviction Desk is a business service and is not directed to children. We do not knowingly offer accounts to individuals under 18.
9. U.S. operation
Eviction Desk is operated from the United States and is initially intended for U.S. business users. Information may be processed and stored in the United States by Eviction Desk and its service providers.
10. Changes to this Privacy Policy
We may update this Privacy Policy as the Service, providers, or legal requirements change. We will post the revised policy with an updated effective date. Where appropriate, we may also provide notice through the Service, email, or other account communications.
11. Contact
Privacy questions or requests may be directed to Eviction Desk LLC using the business contact information provided in your account, invoice, order form, or other Eviction Desk communications.
